    01 — Baseline

    What is measured today, what is measured wrong and what is not measured at all. Usually the honest starting number is worse than the one on the current report, and that is the point.

    02 — Plumbing

    Events, calls, forms and the appointment software connected. Reception given one field to fill in properly instead of six nobody fills in.

  3. 03

    03 — Dashboard live

    One screen the owner actually opens, in the language of the clinic: first appointments, cost per patient, treatments. Not sessions and bounce rate.

  4. 04

    04 — Decide out loud

    Each quarter the plan is rewritten against what the data said, including cutting whatever is not working. A channel that has not produced in two quarters gets dropped, even if it is one of ours.

Questions

Do you need access to our appointment software?

Read access to appointment and origin data, never to clinical records. If that is not possible, attribution gets built from reception’s record and call tracking, which is less precise and gets reported as less precise.

How do you attribute an appointment booked by phone?

With dedicated tracked numbers per channel and one question reception asks. It is not perfect. Nothing that involves a human answering a phone is, and pretending otherwise is how attribution reports become fiction.

Is cost per patient the same as cost per first appointment?

No, and the difference matters. The dashboard shows cost per first appointment and, where the clinic feeds back what closed, cost per patient who actually started treatment. The second is the number that decides the budget.

What if the data says a channel is not working?

It gets said in the monthly meeting and it gets cut in the quarterly plan, including if it is one we sold you. The alternative is charging for something that does not fill the diary, which ends the relationship anyway, just later.

Is the dashboard ours?

Yes. Accounts, properties and dashboards are set up in the clinic’s name, and the historical data stays with you.
